Wine shipping can be a challenging endeavor with most collectors acquiring wine from sources all over the world. Constant challenges occur with delivery timing, extreme hot and cold weather and complying with state wine shipping restrictions. Are you ready to ship your wine? Here are a few ideas that you should take into consideration.

Wine Outsourcing – With a little time and patience, wine shipping can be done by any collector. However, this is often easier said than done. Many of our clients find that by outsourcing their shipping and logistics to us, our costs are a fraction of what they had expected – or even lower than paying to use a national shipping company like big brown.

Wine Insurance – Be careful to check exactly what the insurance offered by UPS and FEDEX really covers. It’s often a poor substitute for real wine insurance. Not only is it very expensive, but the claims process is complicated and any number of minor technicalities can disqualify your claim, for example, they they may not cover spoilage. Proper wine insurance will cover your shipments much more comprehensively. Make sure to watch sub limits for transit, as they can be all or only a part of your total collection value. Also, for spoilage or extremes of temperature, you must use a refrigerated carrier.

Consolidation is your best bet – shipping is a commodity, and volume counts. Just like Amazon pays less to ship via UPS than a small local store, so goes wine shipping. You can easily reduce costs by waiting to ship until you have a large order. For example, orders over 20 cases are usually cost less to ship in refrigerated trucks. Even if you are using UPS or Fedex, ask your retailer to give a volume discount. If you do not have a large enough order at one store, see if you can bundle a shipment with friends or other collectors in your area. At our storage facilities, even three and six bottle orders can be consolidated since other storage clients have bigger deliveries en route.

Consider storage in another city – Given the chance, we would all like to have every treasured bottle at home. Given that this is not possible for many collectors, the next best thing is usually local storage. However, for wines that will not be consumed for years, investment wines or bottles you intend to sell at auction, consider a storage account at a facility near where your largest purchases are made. You may be able to drastically cut shipping costs, and be closer to market when it comes time to sell.
